Experience Liberia – Booking Terms and Conditions

These Terms and Conditions govern the contractual relationship between Experience Liberia and the Client (hereafter “the Participant”) for participation in all tours, voluntourism programs, cultural immersion experiences, and related travel services facilitated by Experience Liberia. By proceeding with a booking, the Participant acknowledges and agrees to these terms in full.
- Definitions
Term | Description |
Booking Confirmation | Written confirmation issued by Experience Liberia detailing the Participant’s itinerary and inclusions. |
Participant | An individual or group who books one or more services via Experience Liberia. |
Program | Any travel, cultural, or volunteer experience organized and operated by Experience Liberia. |
Tour Leader | An appointed representative, cultural guide, or experience coordinator facilitating the Program. |
Partner Organization | Local NGOs, community groups, or third-party service providers affiliated with Experience Liberia. |
- Contract Formation
A contract is formed when Experience Liberia issues a Booking Confirmation upon receipt of the required deposit or full payment. The individual named in the booking assumes full responsibility on behalf of all parties included in the reservation.
- Program Inclusions and Accuracy
Each program is described in detail on our website and official documentation. While Experience Liberia endeavors to maintain accurate representations, itinerary elements and service availability may be subject to change due to seasonal, logistical, or force majeure-related conditions. Any material alterations will be communicated promptly.
- Participant Obligations
Participants are responsible for:
- Reviewing all pre-departure documentation
- Meeting visa and vaccination requirements
- Adhering to local cultural norms and the code of conduct outlined by Experience Liberia and its community partners
Failure to comply with behavioral standards, including but not limited to conduct that disrupts group harmony or disrespects host communities, may result in immediate expulsion from the program without refund.
- Accommodation and Services
Accommodations are selected based on proximity to host communities, cultural relevance, and quality. While standards may differ from international expectations, all lodging complies with safety and hygiene regulations. Special requests (dietary, medical, accessibility) must be submitted in writing prior to final booking confirmation.
- Voluntourism Participation
Volunteering components are non-compulsory but highly encouraged. Activities are coordinated with our vetted partners to ensure ethical and sustainable engagement. Participants may be required to attend briefings or orientation sessions before engaging in community projects.
- Payments, Deposits, and Pricing
- A non-refundable depositof $25% of program fees is required at the time of booking to secure a place.
- Full balance is due no later than 60 days priorto program commencement but we do provide installment options directly through our booking team. Remaining balance paid in 2–3 flexible payments before travel
- Payments can be made via approved secure channels. Late payments may result in cancellation.
All prices are quoted in USD and are subject to change based on exchange rate fluctuations, operational costs, and availability. Once paid in full, pricing is guaranteed.
- Cancellations and Refunds

Participants may receive a full refund if Experience Liberia cancels the trip due to insufficient registration or unforeseen events such as natural disasters, political instability, or public health emergencies.
- Program Amendments
Experience Liberia reserves the right to modify programs for reasons of safety, weather, or unforeseen local conditions. Any significant changes will be communicated promptly. Participants may accept alternative arrangements or request a partial refund if substitutions materially alter the experience.
- Insurance Requirements
Recommended but not compulsory: All Participants are to obtain travel insurance, which must cover medical emergencies, trip cancellations, and personal belongings. Experience Liberia accepts no responsibility for losses due to lack of appropriate coverage.
- Liability and Risk Acknowledgment
Participation in tours and volunteer activities involves inherent risks. Experience Liberia and its affiliates will take all reasonable precautions but cannot be held liable for:
- Injury, illness, or death
- Loss or theft of property
- Delays, interruptions, or changes caused by external factors (e.g., political unrest, acts of nature)
Participants must complete a liability waiver prior to travel. In cases where third-party service providers are involved, their respective terms and limitations of liability will also apply.
- Health, Safety, and Medical Disclosures
Participants must inform Experience Liberia of any medical conditions, physical limitations, or psychological concerns that may affect their ability to engage fully in the program. Failure to disclose relevant information may result in removal from activities or termination from the program.
- Minors and Guardianship
Participants under the age of 18 must be accompanied by a parent, legal guardian, or pre-approved chaperone. Guardians are responsible for the conduct, health, and safety of minors throughout the duration of the program.
- Data Privacy and Communications
Experience Liberia will only collect and store participant information necessary for program delivery. By registering, Participants consent to receive essential communications via email or WhatsApp. Marketing communications may be opted into separately.
- Dispute Resolution
Any disputes shall be governed by the laws of the Republic of Liberia. Should disagreements arise, parties agree to engage in mediation prior to pursuing legal action.

This document supersedes any prior communication or understanding, written or verbal. By submitting a booking and completing payment, the Participant acknowledges full acceptance of these Terms and Conditions.
